Receptionist

Summary:  This position is the face of One Stop to our customers.  Professional behavior at all times is expected.  Answer and forward all incoming phone calls.  Greet and assist all visitors in a friendly, courteous, and welcoming manner.  Process transactions for customers and maintain a balanced cash drawer.  Maintain the overall appearance and inventory levels of the showroom.  Assist various managers with administrative /clerical tasks including sorting mail.

 

Essential Functions:

  • Promptly answer all incoming calls in a pleasant, professional, and efficient manner.
  • Immediately greet all who enter the lobby with a pleasant and professional welcome.  Serve walk-in customers as a top priority.
  • Assist customers by giving accurate product information and availability.  Assist customers with their selections by approaching them and answering questions and offering opinions if necessary.  Place orders, as necessary.
  • Retrieve and release all pending web orders. Handle all web requests in the administrative functions and webmail.
  • Process the sale while keeping an accurate record of the transaction. Maintain proper cash levels. Responsible for daily balancing and ensuring the security of the cash drawer. 
  • Determine how to correct errors on the customer orders (order deviations) and resolve the situation to satisfy the customer.
  • Keep the showroom and closeout room current through consistent monitoring and ordering when necessary. All products’ “styles” in stock to be on display and properly tagged with current information in the showroom and discontinued items to be identified, tagged, and displayed in the closeout room.  Maintain the neatness of the merchandise (i.e., folded, steamed, etc.).
  • Responsible for maintaining weekly / monthly promotions. Ensure the product is properly displayed and free of wrinkles. Ensure proper signage.
  • Responsible for completing the daily showroom log which includes duties involving the maintenance and cleanliness of the showroom.
  • Open, sort and distribute company mail.
  • Collaborate with the buying and marketing managers to change the grid displays quarterly.
  • Keep updated on customer service order entry functions. 
  • Stay current on the products One Stop carries. Know the differences and similarities among the mills in each product classification and the general uses of the screen-printing supplies carried by the company. 
  • Ensure the product selection and availability of all cash and carry products in the close out room.

Knowledge, Skills, and abilities:  

  • Must display a professional appearance with a quick smile and polite mannerisms.  Able to provide excellent telephone etiquette, communication, and interpersonal skills. 
  • Must be able to work well independently, be a strong problem-solver, and multitask as needed.
  • Must have data entry and Microsoft Excel experience, able to maintain accuracy in all transactions.
