HR Recruiting Assistant

Summary:  Supports the human resource function by assisting the HR Manager in all employee recruitment and retention efforts.  Handles a variety of personnel related administrative duties.  Provides information and clerical support to the Human Resources Department and to all employees regarding company events and activities.  

 

Essential Duties and Responsibilities:

  • Assist with all recruitment activities including, but not limited to:  coordinate external and internal advertising for open positions in the company; process and review incoming employment applications in order to evaluate qualification or eligibility of applicants; select applicants meeting specified job requirements and making contact recommendations to HR manager; assist with contacting candidates to do initial phone screening and arrange in-person interviews; substantiate applicant’s skills by administering and scoring required testing; safeguard against falsification of information through reference and/or background checks; inform applicants of their acceptance or rejection of employment and coordinate start dates with appropriate management.
  • Assist in creating and/or refreshing recruitment postings for all open positions.  Post new and update all existing advertisements each week on the various recruitment sites utilized.
  • Track and record the number of applications received from each posting each week; record the number of contacts made in each category; provide ideas and suggestions to HR manager on efforts to increase the number of applications received each week to aid in reaching staffing objectives.
  • Welcome new employees to the organization by provide first day orientation to all new hires: prepare and ensure completion of all required paperwork; review attendance and other company policies, answering questions to ensure comprehension of information; conduct facility tour, making necessary introductions to management and other team members; deliver the person to the training coordinator for their hired position.  
  • Maintain departmental files including active employee records, terminated employee files, employees’ benefits records, and general administrative files. Uphold employee confidence and protect operations by keeping human resource information confidential (i.e., employee payroll, discipline records or medical information.)
  • Assist in the coordination of HR projects and company events (cook-offs, potlucks, appreciation days, employee events, job fairs, etc.)
  • Maintain quality service by following organization standards.
  • Other duties may be assigned to meet business needs.

 

Qualifications: 

  • Associates degree or equivalent education required
  • Candidate must have a minimum of one-year experience in Human Resources or customer service/people-oriented environment or equivalent education in the human resource field.  
    • Preferred: Previous recruiting experience or related Human Resource knowledge.
  • Stable background that demonstrates strong attendance, dependability, organization, and integrity.
  • High level of professionalism both in image and in behavior, accompanied with good judgment.
  • Ability to work well with people at all levels of an organization.
  • Previous computer experience with Microsoft Office.
  • Proven excellent verbal and written communication skills and interpersonal skills.
  • Excellent attention to detail.
